Locations
Practice location data is loaded directly from the EMR. Once loaded, data can be enhanced in the AIC system with additional location information, branding collateral, and amenities.
Data on this page is initially loaded when the tenant is initialized. After that, visiting the page will initiate a refresh of the data. You must navigate away from the page and navigate back to view the refreshed data. After this first refresh, the system will attempt to refresh data every 30 minutes. If and once a new location has been added to your EMR, open this page in a browser to initiate a new scan. To see the updated list of locations, navigate to any other tab then return to this page.
There are multiple links on this page:
- Amenity Organization - clicking on the organization name will navigate you to the edit page of the location; same as clicking the EDIT link.
- Review Sites - clicking on the Review Sites link will navigate to the Review Sites settings page for the location.
- Preview - Clicking the Preview link will open a new browser tab with loaded with the patient concierge site specific to that location. The URL should be similar to https://PRACTICE_NAME.analoginformation.com/locations/SEO_TAG where PRACTICE_NAME is the name of your practice instance and SEOTAG is the SEO tag defined for this location.
- Branding - clicking on the Branding link link will navigate to the branding settings page for the location.
Viewing a Location
To view a location's properties, simply click on a line. When viewing a location, the Location tab shows all data in a read-only format. To view it as the customer will view it, click PREVIEW in the top-right corner of the screen.
Editing a Location
This information can be edited by selecting EDIT to the right of the location on the locations page or from the top-right corner of the screen when viewing a specific location.
The following fields may be modified:
- Name - the name of the location as visible in the AIC system pages.
- Comment - A helpful comment about the location.
- Amenity Organization - Selects the organization to pull the default list of amenities from.
If a location is not assigned an amenity organization, it will not be present on the tenant's public website, https://{tenant}.analoginformation.com.
- Messaging - When set to TRUE, enables messages for patients and practitioners associated with this location.
- Review Gating - When set to TRUE, users will have their review requests pre-empted with an interstitial page before leaving a review. On this interstitial page, the patient is asked if the review they are about to leave is likely to be negative or positive. Positive reviews are routed through the standard public review process while negative reviews are routed through a private, internal-only, review process.
- Appointment Types Patients May Cancel - Define the types of appointments patients may cancel through their patient portal.
- Appointment Types Patients May Reschedule - Define the types of appointments patients may reschedule through their patient portal.
- Appointment Types Patients May Schedule - Define the types of appointments patients may schedule through their patient portal.
- Time Zone Name - Sets the time zone for the office. This helps to define the DND times when sending messages to the associated parties.
- Nickname - A nickname for the office.
- SEO Tag - This affects the generated URL slug: https://PRACTICE_NAME.analoginformation.com/locations/SEO_TAG. The SEO tag can consist of lowercase letters and numbers.
- Human Address - The address used when sending alerts that include the location information.
- Telephone - The telephone number used when sending alerts that include the location information.
- Fax - The fax number used when sending alerts that include the location information.
- Email - The email address used for communications with the office when sending alerts that include the location information.
- Web URL - The URL of the specific office location used when sending alerts that include the location information.
- Location Signature - A tagline for the office.
- Tags - Enable or disable the options to indicate what available transportation services to include with directions to and from your office. Public Transit means regular taxis while Ride Share means Lyft and Uber.
When done editing, click SAVE.
Branding Collateral
Branding collateral is the banner and logos used on outbound communications and the patient concierge websites. All locations will auto-inherit the branding collateral of the organization. If branding collateral is added to a specific location, the location-specific branding will be used for this singular location.
To see the branding collateral of the location, edit the location and click Branding Collateral.
To edit the branding collateral, click +ADD (or EDIT if changing existing settings).
The BODY area contains a description of the organization. This description will show in the About Us section of the practice URL: https://PRACTICE_NAME.analoginformation.com.
The IMAGE area contains a picture in a 3:1 aspect ratio. This image is presented as the primary image at the top of every email sent on the practice's behalf.
To add an image, drag it to the image area or click on the image area to open a file picker and select the target image. After selecting an image, you will be presented with an image editor that allows zooming and rotation. Set the image as desired and click KEEP.
Make any other changes to the body or image and click SAVE.
Once saved, the image and body description will appear. You can edit the information again or click DELETE to remove all added data.
Amenities
The Amenities tab is used to define the amenities for a specific office. You can add photos and descriptions for the following amenities:
- Parking
- Check In
- Waiting Areas
- Check Out
- Onsite Amenities
- Restrooms
- Wi-Fi
- Vending
- Pharmacy
- Gift Shop
- Meeting Rooms
- Charitable Giving
- Accessibility
- Information
Click ADD or EDIT to add a description and photos of the amenity then click SAVE.
Review Sites
Review Sites provide the necessary configuration elements for the Reputation page, if available to your subscription, to work. Here you may add review site URLs. Data collected by adding a review site are visible in the Reviews and Reputation sections of the application as well as the Reputation dashboard widget.
URLs for the following review sites may be added:
- Healthgrades
- Sharecare
- Yelp
For Google you may provide a URL from either of the following processes:
- Open Google Maps at https://maps.google.com.
- Search Google Maps for the practice name or location.
- When the list or matches appears on the left navigation pane, select it.
- Copy the entire URL from the address bar of your browser.
- Paste the copied URL into the Add new review site URL field. See below.

- Search Google Maps for the practice name or location.
- When the list or matches appears on the left navigation pane, select it.
- Click the Share button in the new pane that appears.
- Copy the link to share on the Send a link tab.
- Paste the copied URL into the Add new review site URL field. See below.

Yelp
Yelp reviews that Yelp has marked as "other reviews that are not currently recommended" are not included in the review results.
Add a Review Site
To add a new review site for a location, click ADD REVIEW SITE URL.
Once the review site is added, the location's Review Sites tab will update with the new information. If there is anything wrong with the link added, such as it cannot be parsed or it comes from an unsupported provider, the review site editing will not continue.
